How to Plan a Holiday Group Baking Order: Chocolate, Flour and Nuts in Bulk

Every December, the same thing happens in church kitchens, school cafeterias and family homes: everyone bakes at once, and everyone pays retail for small bags of chocolate chips and flour. A holiday group order fixes that. Your congregation, school or club pools its baking list into one wholesale order, and every member bakes with better ingredients for less.

Ordering in October gives you room for Thanksgiving as well as Christmas and other winter holidays. Warehouse stock on popular seasonal items moves first, so earlier is better.

What to put on a holiday baking list

Chocolate

Volunteer roles that keep it simple

  • Organizer: owns the list, the deadline and the single order.
  • Treasurer or money checker: matches payments to orders before submission.
  • Promoter: puts the deadline in bulletins, newsletters and group chats.
  • Pickup crew: two or three people to sort, bag and hand out orders.

Clear roles from the start mean nobody is left doing case math at midnight the day before the deadline, and the organizer can focus on getting the order right.

How to set up the order form

  1. Keep it short. Ten to fifteen items is enough. Too many choices leave you with partly filled cases.
  2. List units, not cases. Members think in bags and bars, so let them order single units and do the case math yourself.
  3. Show the case size. Note how many units make a case so members can see which items need more sign-ups.
  4. Take payment with the order. Pre-order and pre-pay keeps the order accurate.
  5. Set a firm deadline. Close orders a few days before you plan to submit.

Filling cases before you submit

Storing chocolate and flour until pickup day

Keep chocolate in a cool, dry, dark spot away from ovens and heating vents, and don't refrigerate it, since moisture can cause sugar bloom. Store flour sealed and off the floor. Schedule member pickup soon after delivery so the order isn't sitting in a warm fellowship hall or gym.
